This is a tutorial on best practices when bar-coding records storage boxes.
One of the more frequent questions we get asked is, “How do I barcode a box for storage?” So I want to talk with you just for a minute today about how to barcode the box and where to put the barcode on the box.
So first, you’ll need barcodes. We can deliver those to you, we can drop them off at the mail. But you’ll need these. There’s a large barcode. There’s also a small barcode that we call a tag, just another identifier. Doesn’t necessarily need to be used for anything on the box, that’s just something extra for you for something you might want to use it for, or not.
So I want to show you on our box, this is a Storage Plus box, you notice the lid is hinged, it comes down. There’s the lip that covers the top of the box. And over on the upper left-hand corner, there’s a blue square, just a rectangle, just underneath the lip of the lid. So if you want to take one of the large barcodes off your sheet, and we’ll do that now, and you will want to place it directly or as close as you can get to that square underneath the lid, just so everything is showing, the complete barcode is showing. That needs to happen so when our driver comes to pick them up, it’s easily scannable, easily identifiable. So it’s always on the short end of the box. And of course if it’s our box, then you just know exactly where to put that barcode. So it’s as simple as that.
But I also want to show you where not to put the barcode. So here’s a box, our same box, but the barcode is up underneath the lid. And so, it can’t be seen easily, it can’t be scanned easily. So if you are not using our boxes, where we have a designated spot for the barcode, I please ask that you put the lid on the box so you can know how far down that you have to put the barcode so it’s completely visible.
We also ask that you don’t put the barcode on the long end of the box or on the top of the box. When a box comes to storage, it’s put in an area that it’s slid into that this side of the box is showing. So if you ever need the box retrieved for any reason, it’s easily identifiable and easily taken off the shelf to bring to you.
