It varies based on how boxes you need to store. Storage Plus Shredding charges by the box, so you never pay for empty space you are not using. HOW SECURE ARE MY HARD COPY DOCUMENTS?
Storage Plus Shredding exceeds all security standards for HIPAA, Gramm-Leach-Bliley, Sarbanes-Oxley and other legal requirements for security of your documents. They are safer than locking in your own vault. Start with the fact that our warehouse is a stand-alone facility. There are no other tenants that share our buildings. That means no shared walls or traffic from surrounding businesses. Our property is completely fenced and only accessible through an access-controlled gate, restricting access to only authorized personnel. Along with video surveillance, 24/7 monitored security and handling procedures that are carefully logged and monitored, your records always stay secure.

 

 

IS STORAGE PLUS SHREDDING COMPLIANT WITH HIPAA AND OTHER PRIVACY LAWS?
Absolutely. Our document management software allows an auditable chain of custody from the moment a box is picked up at your office until it is destroyed. Through our web portal you can see the history of your records. The information includes, but is not limited to, which of our employees handled your records at any step as well as delivery workorders and who received deliveries in your office. For all these reasons, off-site document storage is far superior to storing documents at the office or in a temporary storage facility. HOW DO I PREPARE MY FILES TO SEND TO STORAGE PLUS SHREDDING?
Once your agreement is signed, Storage Plus Shredding will provide you with a “New Customer Package”, including bar-code labels and all the forms you’ll need to get started. We ask that you place the bar-code labels provided to you on the ends of each box, then record each container’s bar-code number, alternate code (if your company has its own box numbering scheme), contents description and destroy date on a properly formatted excel spreadsheet. (we will walk you through the steps)
Once this is complete, just email us the spreadsheet and call for a pick-up. Storage Plus Shredding will pick up the containers and bring them to our record center for placement into storage. It’s that easy!

 

 

WHAT IF I WANT TO REQUEST INDIVIDUAL FILES INSTEAD OF WHOLE CONTAINERS?
Easy! Storage Plus Shredding has multiple ways to accomplish this for our customers. We have the ability and experience to pull and deliver a single file or document. Because each customer has their own filing system, we work with you to determine the most practical way to deliver individual files. When files are pulled for delivery, they have a bar-code attached and are tracked in the same manner as a box. For our customers who require individual files, this service is a lifesaver and saves from the clutter of unneeded boxes in your office while providing total accountability of your records. This also makes for quicker access and delivery when access time is critical.

 

 

IS MY INFORMATION TRACEABLE AT ALL TIMES?
ABSOLUTELY, POSITIVELY, YES, it is. Storage Plus Shredding has a powerful Web-access interface allowing you to see the status of any order you place as it makes its way through our system, from file pull, to delivery into your hands. Also, once your file or container is delivered, you can receive an electronic copy of the workorder detailing the items delivered, the time of delivery, the driver’s name, and the name of the recipient. This provides total accountability throughout the delivery process.
Also, our intuitive, user-friendly Web interface allows you to search your inventory and post items to a service request immediately on demand. This allows you to manage your files and containers from your desktop in your own office.

 

 

WILL STORAGE PLUS SHREDDING USE MY BOXES FOR STORAGE?
Yes, as long as they are one of three standard sized records storage boxes. In addition, with a large enough volume non-standard storage boxes may be accepted if arrangements are made before sending to storage.

 

 

DOES STORAGE PLUS SHREDDING HAVE ENOUGH CAPACITY FOR ALL MY CURRENT RECORDS AND ROOM FOR MY GROWTH?
YES, and we can create more space if needed. Which means you will never again spend time looking for an additional storage unit or more basement space.

 

 

HOW QUICKLY CAN I GET INFORMATION DELIVERED TO MY FACILITY WHEN IT IS NEEDED?
In Tulsa, Storage Plus Shredding provides half day service as our standard delivery time. This means that files ordered by 11 am are delivered that afternoon by 5 pm and Orders received by 4 pm are delivered the next business day before noon. If that’s not fast enough we have a 1 hour expedited emergency delivery option or Scan on Demand, which allows you to request the specific records you need and receive a secure electronic version in 2 hours.

 

 

CAN I MANAGE MY ACCOUNT AND REQUEST RECORDS VIA YOUR WEBSITE?
Yes! Our web portal makes it easy for customers to order records from storage, order supplies and request a pickup. In addition, you can view reports, look at inventory and account information in real time. 

 

 

HOW LONG SHOULD I KEEP RECORDS?
It depends on the type of record, your industry and its regulations. Generally, records should be kept for seven years, but some records need to be kept for much longer and some for less time. If a record is of historical value, you may retain the record indefinitely.

 

 

WHERE ARE MY RECORDS STORED?
Your paper records are stored in our secure warehouse which is a stand-alone facility. There are no other tenants that share our buildings. WHO HAS ACCESS TO MY STORED DOCUMENTS?
When you become a customer of Storage Plus Shredding, we collect information from you on who is authorized to have access and what level of access each person has. You will have total control of who can send documents to storage, retrieve documents from storage, request destruction of documents, order supplies, and receive the invoice. Only people you designate can access stored documents. Not everyone has access to each service unless they are granted permission on our authorized user form. In addition, we send an annual reminder to make updates in the case there have been personnel changes and you have forgotten to update with us.

 

 

CAN EACH DEPARTMENT BE INVOICED SEPARATELY?
YES, we have many options for invoicing and will customize your invoice to your requirements.

 

 

DO YOU HAVE ADDITIONAL FEES SUCH AS A FUEL SURCHARGE, ADMINISTRATIVE FEE OR ADD ON HANDLING FEES.
NO, Storage Plus Shredding does not use add on charges. We only charge by service used and do not add additional charges to those fees.

What areas do you provide document destruction services to?

Since we have a paper shredder, why do we even need to outsource paper shredding?

The time wasted removing staples and other things that cannot be put through an office shredder, along with the expense to frequently replace small shredders will quickly justify outsourcing this process. Our equipment is state-of-the-art, commercial grade equipment and shreds much faster than a standard office shredder. Wouldn’t it be a more valuable to spend the time on revenue generating tasks for your business?

 

How quickly can I get an estimate?

What is the difference between onsite and offsite shredding?

Just like it sounds, with onsite shredding our mobile shredding truck is brought to your location. With offsite shredding we take your documents to our secure facility where they are destroyed with the exact same process as they are done onsite.

 

Do you offer offsite document destruction?

Yes.  We can transport your materials to our secure facility for destruction of your documents safely and securely. A certificate of destruction is always provided. Offsite destruction is a great option when purging documents in storage boxes. When boxed records are shredded onsite you will need to dispose of the boxes yourself. Of course, you are provided a certificate of destruction for your records.

 

Will my shredding be done onsite?

The choice between onsite and offsite is totally yours.

 

Is there a price difference between onsite and offsite shredding?

Typically, there is no difference, but there could be extenuating circumstances on a particular job. One example is an onsite purge will cost more when you factor in that you will need to dispose of any boxes yourself.

 

What is the average turnaround time for one-time shredding service?

This is dependent on the size and location of your project. Typically, our technicians are available within a couple days of your inquiry.

 

What is the cut size used when shredding documents?

The industry standard for mobile shred trucks is a 5/8 pierce and tear shredder. These shredders are efficient, secure and used by virtually all companies providing onsite shredding regardless of the manufacturer of their equipment.

 

What do I need to do to prepare my documents for destruction?

Remove your documents from three-ring binders or plastic covers.  That is it! Staples, binders, paper clips, wiring, and any other metal materials holding your paper together do not need to be removed.

 

Do you destroy documents other than paper?

Storage Plus Shredding can destroy hard drives, CDs, tapes, DVDs, microfilm, cassette tapes, uniforms, badges, X-rays, and most any other material. In addition we offer electronic recycling services.

 

What happens to the documents once they are destroyed?

100% of the shredded materials are recycled.

 

How often can we use Storage Plus Shredding?

As often as you like! We offer weekly, bi-weekly and monthly scheduled service that is designed to meet your needs. Plus, if you have a project in between scheduled service dates, no problem. Just call us, in most cases you will receive service in half a business day.

 

How secure is the shredding?

The security on onsite shredding speaks for itself. Any material brought to our facility for shredding is transported in locked vehicles and our employees undergo background checks. Once at our secure facility documents are under video surveillance and shredded within 1 business day of arrival.

 

Can customers watch the document destruction process?

Yes! Our shredding trucks are equipped with video cameras that provide a view of materials being shredded.

 


Can I have my own bin for a project?

If you have a special project, we will be happy to provide a bin that you can use. That way your regular collection receptacles do not get overloaded. We will service it as many times as needed until your project is complete then remove it when you are thorough.

 

What size bins do you provide?

While we have sizes ranging from 16 gallon up to 96 gallon. Our most popular receptacle is a console. Which looks like a piece of furniture and is rated to hold 100 pounds of paper.

 

What happens if I need service in between regularly scheduled services?

Simple, just call us and we will put you on the schedule. In most cases you will receive ½ day service.

 

How are your customers billed?

We invoice our recurring customers on the first of each month for services. One time purge customers receive an invoice via email after the shredding is completed.

 

What forms of payment do you accept?

Payment options accepted are cash, check, and most credit and debit cards.

Do you offer a Certificate of Destruction?

Yes, we will provide you with a Certificate of Destruction at the time of service.

Storage Plus Shredding does not require a long term contract locking you into a service period.  

If you would like to set up a contract, we do have a service agreement that can be set up for any time frame you desire.

 

State-Of-The-Art Shredding Truck

Storage Plus Shredding has mobile shredding trucks and can be in and out of your office or warehouse quickly.  We make sure all confidential documents are securely destroyed.   

 

Shredded Documents Are Recycled

All shredded documents are baled and sent to a paper mill for pulping.  Storage Plus Shredding does not sell shredded material as packaging.

 

Our Recurring On-Site Mobile Document Shredding Services include:

 

  • Customer Site Assessment — Storage Plus Shredding will offer a free consultation to help determine your document management needs and what type of document shredding services work best for your business.
  • Container Size & Placement — Customer can determine the optimal size, placement of containers and service frequencies at their facility. Need assistance with those decisions?  No problem, we are here to help.
  • Regular Service — On-site mobile document shredding containers are serviced at regular intervals by our Service Representative to ensure timely destruction of sensitive documents and records.
  • Proof of Service — A Certificate of Destruction will be issued at the time of service.  Customers are always welcome to escort our service person back to the on-site truck and witness the destruction of their documents.
